Who we are
Dewlands LLP is responsible for the personal information described in this notice. We are a limited liability partnership registered in England and Wales, number OC437196. Our registered office is Dewlands Barn, Castle Hill Farm, Treblers Road, Rotherfield, East Sussex, TN6 3RR.
For privacy questions or requests, email enquiries@dewlands.co.uk, telephone 01892 577371, or write to our registered office. This notice covers this website and enquiries made through it, rather than every aspect of an ongoing client project.
Information you provide
Our enquiry form asks for your name, email, enquiry details and property location. Required fields are marked. Optional information includes your telephone number, connection to the property, services of interest, indicative investment and timing, relevant links, referral source and up to five supporting files.
Please provide only information relevant to your enquiry. Avoid sensitive personal information or unnecessary information about other people in messages, photographs or documents. Without sufficient contact and project information, we may be unable to assess or respond meaningfully to your enquiry.
Why we use it
We use enquiry information to understand what you are looking for, assess whether we can help, respond and manage the resulting correspondence.
Where you ask us to take steps towards providing a service, such as discussing a potential commission or preparing a quotation, our lawful basis is taking those steps at your request before entering into a contract. For other enquiries, including communications on behalf of an organisation, we rely on our legitimate interests in responding to people who contact us and managing relevant business correspondence.
We also have a legitimate interest in keeping the website and enquiry service secure and preventing spam and abuse. This does not remove any separate requirement to obtain consent for cookies or similar technologies. The form does not include a newsletter subscription. Sending an enquiry is not consent to unrelated marketing.
Website information and spam protection
Squarespace hosts this website. Its services can receive technical information such as IP address, browser and device information, pages visited, referring pages and visit times. Squarespace's activity log is currently enabled and provides visit information, including IP addresses, approximate location and browser details.
The form uses Google reCAPTCHA to help distinguish genuine enquiries from automated spam. Google processes technical and interaction information for risk analysis, which can involve cookies. Further information: Google reCAPTCHA information and Google Cloud Data Processing Addendum. These are information links, not a request for visitors to accept those terms.
Where enquiry information goes
Form submissions are stored in Squarespace. Email notifications go to our Microsoft 365 enquiry mailbox. These services and their supporting providers process information for hosting, form storage, email delivery and storage, and security. Relevant information is available to the people handling your enquiry for Dewlands.
The form's additional Google Drive, Zapier and Mailchimp integrations are not connected. Information may also need to be disclosed where required by law or necessary to establish, exercise or defend legal claims.
Processing outside the UK
Our website, email and security providers operate internationally. Information may be processed outside the UK, including in the United States. Their published data-processing terms describe international-transfer mechanisms, including applicable adequacy arrangements and contractual safeguards with UK provisions where applicable.
Further information: Squarespace Data Processing Addendum, Microsoft data-protection terms, and Google Cloud Data Processing Addendum. Contact us for information about safeguards relevant to your information.
How long we keep information
We keep enquiry information for as long as needed to deal with your enquiry and resulting discussions. When deciding what to retain, we consider whether discussions remain active, whether you have asked us to contact you later, whether an enquiry becomes a project, and whether records are needed to meet legal obligations or establish, exercise or defend legal claims. Information no longer needed is deleted or anonymised. If you commission us, relevant enquiry information becomes part of the project record.
Cookies and your choices
Cookies and similar technologies support website functions, security and information about website use. Our Squarespace cookie banner offers Accept all, Decline all and Manage cookies. Squarespace's non-essential cookies are restricted until you accept them. You can reopen your choices using the Cookie Preferences button.
Essential website functions and security services may still use necessary technologies. The enquiry form uses Google reCAPTCHA for spam protection, as described above. Squarespace's activity log is enabled; this is separate from the Google Analytics and Meta Pixel integrations, which are not configured through the site's built-in settings.
For Squarespace cookie purposes and durations, see Squarespace cookie information. You can also manage or delete cookies in your browser; blocking necessary cookies may affect website functions. These controls describe the Squarespace configuration, not a claim that every third-party technology has been independently audited.
Your rights
Depending on the circumstances, you can ask to access, correct or delete your personal information, restrict its use, or receive a portable copy of information you have provided. You have the right to object to processing based on legitimate interests and to direct marketing at any time. Where processing relies on consent, you can withdraw consent without affecting processing lawfully carried out before withdrawal.
Contact enquiries@dewlands.co.uk to exercise your rights. We may need information to confirm your identity. You can also complain to the Information Commissioner's Office; you do not have to contact us first.
Changes to this notice
We will update this notice when relevant website features or information-handling practices change. The date above identifies the latest version.
